Stock counts

Starting a count, reviewing variances and applying them.

Transcript

Start a stock count in the back office, count items, review the variances and apply them to the stock.

0:00 Introduction

A stock count checks the system against the shelves. In this episode we start a count in the back office, enter what is on the shelf, review the differences, and apply them.

0:11 The counts list

In the menu, under Inventory, choose Stock counts.

The list shows your counts, with the store, the scope, the status and the progress. A full count covers every product. Use the buttons at the top to see open, completed or cancelled counts. An earlier count is already here, and is complete.

0:32 Starting a count

Click New count.

Choose the store. We count at Main Street. Give the count a name that you will recognise, such as Pet food shelf.

The scope is Full count by default, which includes every stocked product at the store. For a quick check, choose a category instead. That is a cycle count. We pick Pet supplies.

The note at the bottom matters. Expected quantities are saved now, as a snapshot, and sales made during the count are respected when it is completed. So you can keep trading while you count. Click Start count.

1:09 Counting

The count is open. On the right is the progress: how many items are counted, how many lines differ, and the variance in units and in money. Below is every product in the count, with the quantity the system expects.

Clerks usually count with the scanner, as we saw in the stock room season. You can also count right here. Type a barcode or an S K U in the scan box and press Enter. Each scan adds one.

The thirty pound bags: we have two on the shelf, so we scan once more.

For the fifteen pound bags, we counted eight. Type eight in the Qty box, choose Set, and scan. Set replaces the count with that quantity, where Add adds to it.

The last line, the small bags, can be typed straight into the table. The Counted column is editable. We counted twelve.

2:00 Reviewing the variances

All three lines are counted. Look at the progress box. Two lines have a variance, minus two units in total, and it shows what that is worth at cost. In the table, a variance is the count minus the expected quantity.

Click Variances to see only the lines that differ. The thirty pound bags matched, so they drop out.

The other buttons show what is still uncounted, and what is counted. You can also filter by S K U, name or barcode, and export the count to a spreadsheet.

2:33 Applying the count

If the numbers are right, click Complete count.

The back office shows what it is about to do. On-hand quantities are set to the counted figures, adjusted for any sales made since the count started. It also shows the variance in units and in money. Keep counting takes you back.

Click Complete count to apply it.

The count is completed, and the stock levels have been updated. The page says so, and it is now read-only. If you are not sure, the Cancel count button discards a count without changing any stock.

In the next episode, we find a serial numbered unit and manage lots that are about to expire.
