Transcript

Read the stock levels page: on hand, committed, available and on order, set reorder points, and adjust stock from the back office.

0:00 Introduction

In this episode we look at stock levels in the back office. We read the page, set a reorder point, and correct a quantity.

0:09 The stock levels page

In the menu, under Inventory, choose Stock levels.

This page lists every product at every size, with how many you hold. The four boxes at the top add it up: the number of items, the units on hand, the value of the stock at cost, and how many items are at or below their reorder point.

Stock is held per store. The Outlet box chooses which store you are looking at. We pick Main Street.

The search box finds a product by name, S K U or barcode. Let us look for our hoodies.

0:43 The columns

On hand is the number physically in the store, as far as the system knows. Committed is stock that is already promised, for example to a layaway. Available is on hand minus committed. That is what you can really sell.

On order is stock you have ordered from suppliers, which has not arrived yet. Here we have four size M and seven size L still to come. Later in this season we see how to receive them.

Further right, the cost and value of the stock, and a status. OK means plenty. Low means at or below the reorder point. Out means none left. Negative means more has been sold than the system had, usually because a delivery was not checked in yet.

1:26 Reorder points

The reorder point is the level at which you want to order more. The reorder quantity is how many to order. Click the reorder point for the size M, and type five.

Then the reorder quantity. We want twelve at a time. There is also a bin field, for the shelf where the item lives.

A message confirms it is saved. There are only three on hand, and the reorder point is five, so the status has changed to Low.

To see everything that needs attention, tick Low stock only.

Now only the low items are listed. Untick it to return to the full list.

2:05 Adjusting stock

If the numbers are wrong, correct them. Click Adjust stock at the top right.

Choose the store, and the reason. Every adjustment has a reason, so that later you can tell damage from theft. We choose Damaged.

You can change the stock by an amount, or set it to a total, like a recount. Now add a product.

We lost one size L hoodie. So the change is minus one. We add a note, to say what happened.

Click Save adjustment.

The size L now shows one on hand, down from two.

2:42 The movement ledger

Every change to stock is written down. Click Movement ledger to see the history.

Each row is one movement: what changed, why, how many, what the stock was afterwards, and who did it. Our adjustment is here, with its note.

In the next episode, we order from a supplier, and receive the delivery.
