Customer profiles in the back office: the list, purchase history, loyalty points, store credit and house account balances.

0:00 Introduction

In this episode we look at your customers in the back office: their purchase history, their loyalty points, their store credit, and their house account.

0:10 The customer list

Open Customers in the menu on the left.

Every customer is one row: name, code, email and phone. You also see their group, their loyalty points, any store credit, and what they owe on account.

To find someone, type part of a name, an email address, a phone number or a customer code into the search box.

Only Sam Patel is left. Clear the search to see everyone again.

0:38 A customer page

Click a customer to open their page. Here is Avery Chen, who belongs to the VIP group.

At the top are four numbers: lifetime spend, how many visits, the average sale, and the date of the last visit.

On the right are the contact details, and any gift cards or open work orders that belong to this customer.

Underneath the balances is the list of recent sales. Each row is a receipt. Click All sales to see every one of them.

Further down is the ledger. It lists every change to the customer's points, store credit and house account, with the date, the amount, the new balance, the sale it came from, and who did it.

The buttons above the table filter the ledger to just loyalty, store credit, or house account.

1:27 Loyalty points

Back at the top, the balances. Loyalty points are earned on every sale. This card shows the points, and what they are worth in dollars.

To give a customer a bonus, tap Adjust. Enter the points to add. A minus sign takes points away. Add a note so the team knows why.

Tap Post. The balance goes up by one hundred points.

The Redeem button turns points into store credit. The dialog shows how many points the customer has, what each one is worth, and the credit they will get.

We will leave the points as they are, so we cancel.

2:05 Store credit

Store credit is money the customer can spend at the register. Maybe you are making up for a faulty product. Tap Issue or adjust, enter an amount and a note.

Tap Post. The credit goes up by ten dollars, and the ledger records it.

2:21 House accounts

Some customers buy on account and pay later. Hank House has a balance on his house account. Let's open his page.

The house account card shows what he owes, and whether he has a credit limit. When he comes in to pay, tap Record payment.

Enter the amount he hands over, and choose which register the cash goes into, so the drawer count stays right. We will cancel this one.

2:47 Adding a customer

To add a customer, go back to the list and tap New customer.

Type the name, and an email address and a phone number if you have them. Leave the customer code empty, and the system assigns one for you.

Tap Create. The new customer page opens, with a code already assigned. They are ready to be added to a sale at the register.

That is the customer records. In the next episode, we look at sales history: finding a sale, reprinting a receipt, and voiding a sale.
