Finding a sale, reading it, printing or emailing its receipt, following its audit trail, and voiding it.
0:00 Introduction
In this episode we find a past sale in the back office, look at everything on it, send the customer a receipt, and void a sale that should not have happened.
0:10 The sales list
Open Sales in the menu. This is every sale from every register, newest first.
Each row shows the receipt number, the date, the customer, the store and register, who served, the number of items, the status and the total.
Use the filters to narrow the list. Status lets you pick completed sales, parked sales, layaways, quotes, or voided sales.
Let's look at voided sales only.
The date range, the store, and the member of staff work the same way. Set the status back to any status.
If you know the receipt number or the customer, just type it in the search box. Here is Cathy Club.
0:55 Reading a sale
Click a row to open the sale.
At the top are the status, the date, the customer, the store and register, and who served. On the right is the receipt, exactly as the customer received it.
Below are the items with their prices, discounts and tax. Then the totals, and the payments. If the customer paid with two methods, you see both here.
1:19 Receipts
A customer lost their receipt? Tap Email. Type their address, and send it.
The receipt goes out by email straight away.
Print hands the receipt to your browser's print window, so you can print it on any printer you have.
1:35 The audit trail
View audit trail shows everything that was recorded about this sale: who did what, when, and at which register.
We cover the audit log in more detail in a later episode. For now, go back to the sales.
1:50 Voiding a sale
Sometimes a sale was rung up by mistake. Open it, and tap Void.
Type the reason. This is kept in the audit log, so be clear.
The system tells you what a void does. Stock, serial numbers, lots, gift cards, store credit, house account and loyalty points are all put back. It cannot be undone.
Confirm, and the sale is voided.
The status now says Voided. The sale stays in the list, so there is always a record that it happened.
That is sales history. In the next episode, we look at gift cards: the cards you have issued, their balances, and their history.
