Repairs and services by status on the board, opening a job, adding parts and labour, and moving it along.
0:00 Introduction
A work order is a repair or a service job for a customer. In this episode we use the board in the back office to see where every job is, and to move one along.
0:11 The board
Open Work orders in the menu.
The board has a column for each stage: Open, In progress, Waiting parts, Ready, and Picked up. The number at the top of each column is how many jobs are in it.
Each card shows the work order number, the item, the problem, the customer, the technician, the due date, and what the job costs so far.
You can filter by store, by technician, or show only the jobs that are overdue. Or search by number, item, serial number, or customer.
If you prefer a table, tap List.
Tap Board to come back.
0:51 Moving a job
The job for the gravel bike is in progress. The technician is waiting for a part. Tap the three dots on the card, and choose Move to Waiting parts.
The card jumps to the Waiting parts column. Everyone who looks at the board sees it.
1:06 Opening a job
Click the card to open the job.
At the top is the customer, the item and its serial number, the technician, the due date, and any deposit the customer paid. On the right are the problem the customer described, and notes.
Parts and labour are listed below, with the total before tax. This job has one hour of labour for a tune up, and an inner tube.
1:31 Adding parts and labour
The technician used another part. Tap Add line, and choose Product or service.
Search the catalogue by name, SKU or barcode. Each result shows its price, and how many you have on hand. Pick the inner tube.
The part is on the job, and the total has gone up. The same menu also adds labour by the hour, or a custom line for anything else.
1:56 Finishing the job
The part has arrived and the work is done. Tap the status button at the top, and choose Ready.
The job is ready for the customer. When they come to collect, tap Invoice to register.
It creates a parked sale with these parts and labour. Recall it at the register to take payment. When that sale is completed, the work order is marked picked up. We will not create it now.
That is the work order board. In the next episode, we look at the dashboard, which gives you the whole business at a glance.
