Link a new barcode to a product you already stock, or add a brand new product from the stock room.
0:00 Introduction
Sooner or later you scan a barcode the system does not know. Maybe a supplier changed their packaging, or a product is brand new. In this episode we deal with both.
0:12 A barcode that is not found
Open Price and stock, and scan the new barcode.
Not found, as you would expect. But look at the card. It offers two things: assign the code to a product you already have, or create a new product. Staff with permission to change the catalogue see these buttons. Anyone else sees the message only.
0:33 Linking it to an existing product
The hoodies have arrived in new packaging, with a new barcode. So this is a product we already stock. Tap Assign to an existing product.
The Assign barcode screen has the code ready. It says it is an unassigned thirteen digit code, and that the check digit is correct. The check digit is how the scanner knows it read the code properly.
If one scan stands for a case or a multipack, you can change the units per scan here. We leave it at one. Now tap Find product variant.
Type a few letters of the name, and choose the right size. We pick the hoodie in size L.
The product is chosen, and the screen shows its current barcode. Tap Assign.
Done. The code is linked to the hoodie. The old barcode still works too. Let us check. Go back, and scan the new code again.
The scanner now finds the hoodie in size L, with its price and its stock.
1:32 Adding a new product
Now a product that is not in the system at all. We have a new mug. Scan its barcode.
Not found again. This time we tap Create a new product.
This is Quick add. The barcode is already filled in, and the scanner says it is a new code. You can take a photo of the product with the camera. We will fill in the details.
Type the name, the price, and what it cost you.
You can also choose a category and a brand, and give it a SKU. If you leave the SKU empty, the scanner makes one for you. At the bottom is the opening stock. We have six mugs on the shelf, so we tap plus six times.
Tap Create product.
The product exists, with its barcode and its SKU. You can add another, or tap Done.
That is the end of the stock room season. In the next season we move to the back office, and look at stock levels.
