The orders inbox, shipping and pickup, refunds, messages from the contact form, and analytics with consent.
0:00 Introduction
In this episode we handle online orders in the back office: ship one, hand over a pickup order, refund another, read the messages from the shop, and set up analytics.
0:11 The orders inbox
In the menu, under Online store, Web orders is the inbox for orders placed on the shop. Each row shows the order number, the date, the customer, its status, whether it ships or is picked up, the number of items, and the total.
The checkboxes filter by status, and the search box finds an order by its number or the customer's email. All three orders are Accepted: the payment was captured when the shopper paid, and a sale was recorded.
Open order W1001, from Maria Lopez.
Here are the items with their prices, and on the right the summary: subtotal, shipping, tax and total, with the receipt number of the sale. Below are the customer's email, the store that ships it, and the shipping and billing addresses.
The timeline lists what happened: the order was placed, the card was authorised, the payment was captured, and the order was accepted, with the sale it created. Payments, at the bottom right, shows what was captured and what was refunded.
1:11 Shipping
To ship it, press Ship. Enter the carrier, the tracking number, and a link where the shopper can follow the parcel. The dialog says the shopper is emailed.
Press Ship. The order is now marked Shipped, and the timeline has a new entry with the tracking number.
1:26 A pickup order
Go back to the inbox, and open order W1002, which is a pickup order for Harbor Mall.
A pickup order has two steps instead of Ship. Press Ready for pickup when the items are set aside. The shopper is told that the order is ready.
When the shopper comes to the store, press Picked up. The order is complete.
1:46 A refund
Now order W1003. The shopper has asked for their money back. Open it and press Refund.
The dialog asks to refund the order in full. Give a reason, and press Refund. The card is refunded, and a return is recorded, so the items go back into stock.
The order is marked Refunded, and the Payments box shows the refunded amount. Refunding needs a permission of its own, besides the one for fulfilling orders.
2:13 Messages from the shop
Now Forms. This is where messages from the shop's contact form, and newsletter sign-ups, arrive. Each tab lists one kind. Open Contact.
Priya Shah has written to ask about shipping to Canada. The message is open until we handle it. Answer her by email, and then press Mark handled.
The Newsletter tab lists the email addresses that signed up, once each.
2:35 Analytics and consent
Last, analytics. On the Overview page, scroll down to the Analytics and consent card. The tracking IDs are added to every page of the shop. Type a Google Analytics 4 ID.
Visitor consent decides when the tracking starts. Required means the scripts load only after a visitor accepts the banner. Notice loads them at once, and Off shows no banner at all. Choose Required and press Save changes.
To see it as a visitor, go back to the top of the page and press Open shop.
On the shop, a banner now asks the visitor for consent. Nothing is tracked until they accept.
That completes the online store series. You can open a store, design it, fill it with content, set shipping and tax, and handle the orders that come in.
