Adding a store (outlet) and its registers, receipt prefixes and time zones.
0:00 Introduction
In this episode we add a new store to the business, and then give it a register.
0:06 What is an outlet?
An outlet is one store location. Each outlet has its own stock, its own registers and its own receipt numbers. A register is a till inside an outlet.
You find both in Settings. This is the Outlets tab. It lists your stores with their code, time zone and whether they are active. Here we have Harbor Mall and Main Street.
0:29 Adding an outlet
Click New outlet.
Give the store a name, Riverside, and a short code. The code is a few capital letters that identify the store in reports and on screen, so we will use R I V.
Then the address, phone and email. They are optional, but useful.
The time zone matters. Reports use it to decide where one day ends and the next begins. Riverside is in Dallas, so we choose America slash Chicago.
The Active switch controls whether the outlet is in use. Leave it on and press Save.
Riverside is now in the list, with its own code and time zone.
1:09 Adding a register
Now the register. Open the Registers tab.
Each row is a till: its outlet, its name, its receipt prefix, and the number the next receipt will get. Click New register.
First choose the outlet. We want Riverside.
Name the register Register 1.
The receipt prefix starts every receipt number from this register. With R 1 and a dash, the receipts will be R1 dash 1, R1 dash 2, and so on. Every register should have its own prefix, so a receipt number tells you where it came from.
The card reader field is only for stores that use a connected card terminal. We leave it empty. Press Save.
The new register is listed, and the next receipt will be R1 dash 1.
2:00 Changing and retiring
The pencil on any row lets you edit it. The other button deactivates it. You cannot delete a store or register that has sales, because the history must stay, so you switch it off instead. Tick Include inactive to see switched off ones.
The register exists, but nobody can use it until the device is enrolled. We will do that in episode seven. Next, we set up taxes and payment types.
