Adding staff, what roles allow, register PINs, outlets a person works at, and the time clock.
0:00 Introduction
In this episode we add a new member of staff, see what each role allows, and look at the time clock.
0:07 Your team
Open Staff in the menu. The first tab lists everyone who can sign in. For each person you see their role, the outlets they work at, whether they have a register PIN, and their commission and hourly rate.
Everyone has a role. Casey is a cashier, Morgan is a manager, Stella is an inventory clerk, and Taylor is a technician. The role decides what the person is allowed to do.
0:32 Adding a person
Click New staff member.
Type their name and email address. The email is what they use to sign in to the back office.
Choose a password of at least twelve characters. The person can change it themselves later.
The register PIN is a short number, four to eight digits. Staff do not type a password at the till. They tap in their PIN instead. Each person should have their own, so the system knows who rang each sale.
Role is next. Cashier is right for Riley. We will look at what each role can do in a moment.
Outlets says where this person works. By default it says can work at all outlets. Click Main Street, and Riley will only be able to work there.
Commission rate is a percentage of net sales, and hourly rate is used to work out wages on timesheets. Both are optional. We will give Riley a rate of sixteen dollars an hour.
Press Create.
Riley is in the list, as a cashier at Main Street.
1:38 Roles and permissions
Now, what can a cashier actually do? Open the Roles and permissions tab.
Each column is a role and each row is something a person might do. A tick means the role is allowed. The admin column is greyed out because an admin can do everything.
Look at the cashier. It can view products and stock, but it cannot create or edit products, adjust stock or receive purchase orders. Managers and inventory clerks can.
Scroll down for the sales permissions.
Here you can see who may apply discounts, process refunds and void sales. These are the things a cashier usually needs a manager for. A manager can approve them at the register with their own PIN. We cover that in season three.
To change a role, tick or untick a box and press Save changes. The change takes effect immediately, even for people already signed in. New role makes a role of your own, for example a supervisor. You can only give permissions that you hold yourself.
2:42 The time clock
The Time clock tab shows when staff clocked in and out.
Staff clock in and out from the register, so this list fills up as they work. You can filter by person and date range, and export it as a spreadsheet to run payroll. Right now it is empty, because nobody has clocked in during the last seven days.
Your team is set up. In the last episode of this season, we connect a real register to the system.
