Check a delivery in against its purchase order by scanning, fix mistakes with Undo, and see what happens to items that were not ordered.
0:00 Introduction
A delivery has arrived at the back door. In this episode we check it in against the purchase order, by scanning each item, and we see what happens to anything that was not ordered.
0:12 Choosing the order
From the home screen, tap Receive PO.
This is the list of purchase orders on their way to your store. Each one shows its number, its status, the total, the supplier, and how many units have arrived so far. The search box finds an order by number or by supplier.
Find the order that matches the packing slip, and tap it.
0:34 Scanning what arrived
At the top you see how many units are still expected. Below the scan box, every line on the order is listed, with the number scanned so far out of the number ordered. Nothing has arrived yet, so each line says Waiting.
Now scan an item from the first box.
One hoodie in size M is counted. The line shows one of six. The item you scanned last appears at the top, so you can check you picked up the right one.
Any barcode on the product works. This second hoodie has a different barcode, but the scanner knows it is the same item.
Now a size L.
The progress bar fills as you go. Lines that are partly done are marked Partial.
1:19 Quantities and mistakes
Scanning every single unit is slow when a box holds many. Tap a line to enter its quantity instead.
You can use the plus and minus buttons, or type a number. Receive all fills in everything that is outstanding. The unit cost starts at the price on the order. Change it only if the invoice shows something different. We have all four of the size L, so we tap Receive all, then Done.
If you scan something by mistake, tap Undo. Here we scan a hoodie by accident, and then take it back.
1:51 Items that were not ordered
Now something that is not on the order. Suppose the supplier slipped a box of bananas into the delivery.
The scanner warns you in orange: not on this purchase order. It still counts the item, as a new line marked Not expected, so nothing is lost. Check it against the packing slip.
A code the scanner has never seen is different. It is refused, so a misread cannot slip into your stock.
2:18 Finishing
When everything on the packing slip has been scanned, tap the Receive button at the bottom. It shows how many units you are about to add.
The scanner asks you to confirm. It tells you how many lines will be added to stock, and how many are short. Short lines stay open on the order, so the rest can arrive later. And the unexpected item will be added to the order as an extra line.
Tap Receive.
The units are now in your stock. Some hoodies in size M are still missing, so the order shows as partially received. Tap Done.
Back on the list, the order shows how many units have arrived. When the rest comes in, you open it again and carry on.
In the next episode, we count the shelves.
