Returning against a receipt, without one, and exchanging for something else.
0:00 Introduction
Sooner or later, a customer brings something back. In this episode we return an item against its receipt, swap it for something else, and look at a return without a receipt.
0:11 Returning against a receipt
A customer is back with the medium hoodie. It is the wrong size. Tap Return, at the top of the screen.
Taking goods back is something only a manager can allow, so the register asks for a manager's PIN. The manager types it in.
This is the return screen. At the top it says who approved it. On the left are recent sales. You can search by receipt number, or by customer name. You can also scan the barcode printed at the bottom of the receipt.
Tap the customer's receipt.
The lines of that sale appear. Each shows how many were sold and how many can still be returned. Use the plus button to choose the quantity coming back. Return all would take everything.
Choose a reason for the return, or type your own. The return to stock switch decides whether the item goes back on the shelf. Leave it on for goods in perfect condition.
The button at the bottom shows how much will be refunded, tax included. Tap it to add the return to the sale.
Back on the sell screen, the cart holds the returned hoodie as a minus amount. The big button at the bottom now says Refund instead of Pay. Tap it.
The refund goes back the way the customer paid. They paid cash, so we give cash from the drawer. Tap the refund button to confirm.
The refund receipt shows the amount refunded as a minus figure. The item goes back into stock. Tap New sale.
1:44 An exchange
The same customer now wants the large hoodie swapped for a medium. An exchange is just a return and a sale together. Start with a return again.
Open the same receipt. The medium hoodie is already marked as returned, so only the large one can be chosen.
Choose the large hoodie, add a reason, and add it to the sale.
The return is in the cart. Now scan the item they want instead. A medium hoodie.
The cart holds a minus line and a plus line. The register works out the difference. The medium costs a little more than the large, so the customer pays only that difference. Tap Pay.
Take the difference in cash, and the exchange is finished.
2:30 A return without a receipt
What if the customer has lost the receipt? Add the item to the cart first. We scan a medium hoodie, then tap its line.
In the line editor, there is a switch called Return or refund this item. It says unreceipted return, and that it needs refund permission. Switch it on, and tap Save.
Again a manager has to approve, by PIN, because returning an item without a receipt needs a manager.
The line is now a refund, at the price shown on the line. You finish it the same way as before, with the Refund button.
In the next episode, we put a sale on hold while the customer fetches their wallet, and we save a quote.
